1. General Overview & Scope of Services

Sanskari Events ("Company," "we," "our," or "us") provides bespoke event planning, wedding management, floral & thematic decor styling, birthday parties, baby showers, anniversaries, housewarming (Griha Pravesh) ceremonies, corporate events, and photography coordination services primarily in Bengaluru and surrounding regions in Karnataka, India.

Every event is unique. Detailed specifications, including design concepts, color palettes, vendor allocations, and exact schedules, are outlined in individual event proposals, quotation documents, or WhatsApp confirmations issued to the Client ("you" or "the Client").

2. Booking Confirmation & Payment Schedule

To maintain high quality and dedication, Sanskari Events takes on a limited number of events per date. Therefore:

• Date Reservation: An event date is officially confirmed on our production calendar only upon receipt of the agreed initial booking deposit (token advance) and written or electronic acceptance of the event estimate.
• Payment Milestones: Standard payment schedules are structured as follows:
  • Phase 1 (Booking Advance): 30% to 50% of the estimated budget upon booking to secure calendar dates, design concepting, and early vendor reservations.
  • Phase 2 (Procurement & Fabrication): 30% to 40% payable 7 to 14 days prior to the event date to fund custom material procurement, floral stock reservation, and equipment rental lock-in.
  • Phase 3 (Final Clearance): Remaining balance due prior to the commencement of setup handover on the event day.
• Accepted Modes: Direct Bank Transfer (IMPS/NEFT/RTGS), UPI, or account payee business cheques. All quotes are exclusive of statutory GST unless explicitly stated otherwise.

3. Cancellation, Rescheduling & Refund Policy

Event management entails substantial upfront outlays, including securing specific artisans, floral auctions, specialized lighting inventory, and reserving dates that preclude us from booking other prospective clients:

• Cancellation by Client: In the event the Client cancels the booking, the initial booking advance is non-refundable as it covers non-recoverable design hours, vendor retainers, and date blockage costs.
• Late Cancellation: Cancellations made within 7 days of the scheduled event date require full payment of all custom fabrication, floral procurement, and third-party vendor expenses already incurred or non-cancellable by Sanskari Events.
• Rescheduling: If you need to change your event date, please notify us immediately in writing. Rescheduling is subject to calendar availability and may involve adjustment fees if third-party vendor charges or floral rates differ on the new date.

4. Client Responsibilities & Venue Permissions

To guarantee a smooth and punctual setup, the Client agrees to:

1. Venue Approvals & Access: Secure all necessary permissions from the venue owner, hotel management, clubhouse committee, or municipal authorities, including loading/unloading entry passes for our production crews and vehicles.
2. Setup Windows: Ensure the venue provides adequate setup and dismantling time prior to and after the event. Sanskari Events is not responsible for setup delays caused by late venue handover.
3. Utilities: Ensure availability of uninterrupted 3-phase/single-phase power supply and water connections as needed for production equipment, lighting, and sound rigs.
4. Personal Belongings & Valuables: Clients and guests are solely responsible for personal items, jewelry, gifts, and cash during the event. Sanskari Events is not liable for lost or stolen personal property.

5. Design Variations & Floral Seasonality

We take immense pride in crafting breathtaking decor. However, event styling involves organic and perishable materials:

• Floral Seasonality: Fresh flowers and foliage are natural commodities subject to seasonal harvest and weather conditions. If a specific bloom or shade is unavailable at the flower market on the setup date, our creative director reserves the right to substitute with blooms of comparable or higher quality and aesthetic value without altering the overall theme.
• Scope Additions: Any last-minute additions (additional tables, extra backdrops, extended floral garlands) requested within 48 hours of the event will be billed as additional deliverables.

6. Force Majeure (Unforeseen Circumstances)

Neither Sanskari Events nor the Client shall be held in breach of contract for failure or delay in executing their obligations if such failure arises from events beyond reasonable human control ("Force Majeure").

Force Majeure events include acts of God (severe storms, floods, earthquakes), government-mandated lockdowns, communal curfews, catastrophic power grid failures, strikes, or riots. In such an occurrence, both parties will work in good faith to reschedule the celebration to a mutually agreed future date.

7. Photography, Videography & Portfolio Rights

Sanskari Events curates works of art. Unless expressly prohibited by the Client in writing prior to the event:

• We reserve the right to capture high-definition photographs and video recordings of our stage setups, entrance arches, floral arrangements, and venue ambiance.
• These visuals may be used in our professional portfolio, website (sanskarievents.in), official Instagram (@sanskarievents_), and marketing material.
• We treat private family moments with the highest discretion and will not publish sensitive portrait images if requested by the Client.

8. Limitation of Liability

To the maximum extent permitted by applicable Indian law:

• Sanskari Events, its founders, and contractors shall not be liable for indirect, punitive, special, or consequential damages resulting from any aspect of the event or services.
• The aggregate cumulative financial liability of Sanskari Events arising from any claim under a contract shall not exceed the actual management fee received by Sanskari Events for that specific event.

9. Governing Law & Dispute Resolution

These Terms and Conditions and all service contracts are governed by and construed in accordance with the substantive laws of the Republic of India.

Any legal action, proceeding, or dispute arising out of or relating to these terms or services rendered by Sanskari Events shall be subject to the exclusive territorial jurisdiction of the competent courts located in Bengaluru (Bangalore), Karnataka.
